Details
  This form:
  • Lists all the accounts in the general ledger, in account number order, beginning with the account you specify. See Account Information for a list of the data displayed in this form.
  • Lets you select an account and display more detailed information.
  • Lets you print the chart of accounts.
  • Lets you list rolled up balances instead of viewing individual accounts.
   
  Account Information
  General Ledger accounts include the following information:
  • Account number.
• Account description.
• Account type (balance sheet, income statement, or retained earnings).
• Normal account balance (debit or credit).
• Reporting currency balance (debit or credit). This option is only available if euro is your functional currency and you specified a reporting currency.
• Whether the account is a multicurrency account (in multicurrency ledgers only).
• Functional balance at the end of the currently selected fiscal period and year.
• Whether quantities are kept for the account.
• Account status (active or inactive).
• Whether the account balance is periodically allocated to other accounts.
• Whether the account is a rollup account, and if so, whether it is the Parent (Rollup is the designation), a Member of a Rollup, or Both the parent of a rollup group and a member of another rollup group.
• When you select the Use Rolled Up Balances option, balances will be displayed for the Parent accounts but not for Member accounts (that is, the Balance column will be blank).
• Whether amounts posted to the account are consolidated during posting, or if all details are posted, or if posting is prohibited.
• Whether the account uses optional fields or transaction optional fields.
   
  To list accounts
  1. Select a starting account number.
2. Choose the year.
3. Choose the period.
4. Click the Go button.
  Select the Use Rolled Up Balances option before clicking the Go button if you prefer to see only rolled up balances.
   
  Use Rolled Up Balances
  Select this option to view the rollup accounts with balances rolled up to the highest level possible. (The Functional Balance field will be blank for rollup accounts which are not the highest level accounts, as well as members of rollup accounts. Only the rollup accounts which are at the highest level as well as non-rollup/non-member accounts will show amounts in the Functional Balance field.)
   
  If G/L Security has been turned on, you can view rollup accounts if you have access permission for it. The rollup member accounts can be viewed as well if you assign access rights to them.
   
  To view or edit information for a particular account
   
  1. Select an account from the account list.
2. Click the following buttons:
3. Open, to view details for that account on the G/L Accounts form.
4. Transactions, to view transaction history for that account.
5. Comparison, to compare fiscal sets for that account.
6. Budget, to view information for that account on the G/L Budget Maintenance form.
7. History, to view the account history for that account.
8. Currency, to view all the source currencies that have been posted to that account in the selected period.
   
  To add an account
  1. Click the Open button. This button displays the G/L Accounts form.
2. Click (new) when the form appears.
3. Enter the number of the new account, and all other account information.
